This Position is Part-Time and the rate of pay is between $18-$19 Objective Provide prompt and efficient administrative support to the Community Administrator and help coordinate all activities related to the smooth and efficient operation of the property and management office.
Assume responsibility for the property in the Community Administrator’s absence.
Essential Functions, Duties & Responsibilities Administrative support Handle correspondence, telephone contacts and incoming mail in a professional and expedient manner Ensure company and community email boxes are checked and cleared daily Ensure that accurate and professional letters, documents and other materials are produced within established time frames Greet visitors, screen incoming calls, schedule appointments and play an active role in organizing and prioritizing required activities Assist with property reports and projects.
Organize, research and gather required data as necessary Establish and maintain relationships with other staff members Input and submit invoices in a timely manner Monitor receipt of invoices on a daily basis, ensuring all invoices are processed timely with a core focus on ensuring all re-occurring and monthly utility bills are received in a timely manner Assist in the obtaining resident signatures when requested by site or administrative staff Distribute resident notices or documents by mail or in-person requested or necessary Ensure stock of office supplies is adequate at all times Ensure all resident and vendor filing is organized and maintained at all times Ensure work area and office are presentable and organized at all times Marketing and Leasing Develop and maintain customer relationships Assist in development and placement of advertising Greet drop-ins Respond to inquiries Present property and apartments in a manner consistent with the image of property and relevant to prospect Assist with apartment comp studies as needed Assist with rental application intake and processing Assist in lease renewal process Assist in recertification process Resident Management Establish and maintain relationships with current residents Assist in late rent collection or other monies due Attend court hearings in Community Administrators absence Complete maintenance satisfaction follow up calls Enter and close out maintenance service request in property management software collection and posting of received rents of late rent and other monies due Responsible for overseeing maintenance activities in some capacity.
While not the primary responsibility, will play a crucial role in monitoring and reporting on maintenance operations to ensure the community's smooth functioning Additional responsibilities Ability to work successfully with minimal supervision Maintain compliance with Property and VOA Michigan policies and procedures Ensure that all duties are carried out in a timely and orderly fashion so that the property and VOA Michigan function in the most efficient manner possible Other duties as assigned Knowledge, Skills and Abilities Minimum 2 years property management experience as a Leasing Agent, Assistant Manager or Property Manager Working Knowledge of HUD/MSHDA rules and regulations Ability to successfully work in a group or individual setting Outstanding communication skills with ability to interact with wide range of people Ability to maintain a high level of accuracy in preparing and entering information Maintain professional demeanor and appearance Great attitude with high-energy personality Excellent customer service skills Valid driver’s license Computer and Internet literate Use of technology such as Zoom, Teams is preferred Working Conditions The work environment characteristics described here are representative of those an employee will encounter while performing the essential functions of this job.
